We understand that last minute student cancellations are frustrating - especially if you have adjusted your schedule or missed out on tutoring another student during that time. Your time is valuable, and Tutor Management wants to ensure that the time you dedicate to Upswing is respected.
Preventing a Cancellation
If you aren’t in the habit already, we recommend developing a pre-scripted/canned message to send to students in advance of a scheduled meeting. Even though students receive auto reminders from Upswing about their scheduled sessions, a personal and well-timed message from you can often be an effective step toward ensuring the student is on time and present for your session or cancels farther in advance.
Please feel free to adapt this pre-script:
Hello ________! Just a reminder that we have a scheduled session for (DATE/TIME). Please be prepared to share your assignment guidelines, what you've been working on, and any relevant materials. Looking forward to working with you!
Repeated Cancellations
If a student cancels at the last minute one time, please treat this as a fluke but politely address the issue with the student. However, if a student develops a pattern of last minute cancellations (3 or more), please inform Tutor Management and decline future requests from the student.
Also, a last minute cancellation is an opportunity to set immediate availability for another student; particularly during peak usage (Sunday-Thursday between 6pm-10pm CST/EST). There is a good chance you will receive a request for a session and perhaps even build a long term routine with a new student.
