How do our campus tutors schedule sessions with students from their tutor accounts?

Campus tutors are now able to schedule upcoming sessions directly with students, removing the need for the student to log into Upswing and schedule the session themselves. This feature is designed to streamline the tutoring process, enhance access to tutoring services, and provide more flexible use of the platform.

When to use this feature:

Below are two examples of when a tutor may want to schedule sessions with students.

Embedded Tutoring

Embedded tutors support specific courses and meet regularly with the same groups of students. To save time and make it easier for students to participate, the tutors may want to schedule sessions ahead of time for the students

Walk-In Tutoring

Students may not be familiar with Upswing as a method for scheduling tutoring or they may prefer to walk into the writing lab or tutoring center to schedule a session. They might even want to meet with a tutor immediately. The available tutor can log into Upswing and schedule the session for the student.

How campus tutors can use this feature:

The ability for tutors to schedule sessions with students is controlled by a user permission setting. Work directly with your HERO to enable this feature for some or all tutors. Once the feature is enabled, tutors will have the ability to schedule sessions with your students by following these instructions in this article, or as explained below:

1. The tutor will log into Upswing and navigate to the 'Tutoring' module.

2. On the right side of the screen in the 'Schedule Session' modal, they will click the green 'Schedule Session' button.

3. The 'Schedule Session' dialog pop-up will open. All required fields will need to be completed to schedule the session.

• If your institution has multiple tutoring types, the tutor can select the correct option. (If the tutor does not have multiple tutoring types, they will not be able to select a tutoring type. "Tutoring" will display as read-only text.)
• Set the date, start time, and expected duration for the session.
• Designate whether this is an online or in-person session. (If in-person, the tutor will be prompted for location information.)
• Select the subject.
• Search for the students by name. The tutor will see the name and email address when searching to help with selection.
  • If this session will be a group session, the tutor can search for and select up to the maximum number of students for that tutor. (This max depends upon the "Group Session Max" setting for that tutor.)

Notice: If the tutor tries to schedule a session with a student who has a conflicting session, they will see an error message and some recommended times that work for all participants. In oder to schedule the session, they will need to select a new time that works for everyone.

4. Click the Schedule button to schedule the session.

5. Once the session has been scheduled, both the tutor and the student(s) will receive an email notification that allows for them to add the session to their personal calendar.
