Admin Guide: How to Ensure Campus Tutors are Visible to Students in a Search

If students are not able to search for or schedule sessions with a campus tutor, it's possible that the tutor's account is missing the information required for them to be visible to students on the platform. This article provides administrators with a checklist of items to look into in the event that students aren't able to find and schedule sessions with a campus tutor.

In order for students to be able to schedule sessions with a campus tutor, the tutor must:

  1. Have the correct role assigned to their account
  2. Have skills / subjects added to their profile
  3. Add periods of time in which they're available for sessions
  4. Have a verified account

Ensure the Tutor Has the Correct Role

When campus tutors first log into the Upswing platform, it's possible that their account was automatically assigned the "Student" role. This is likely the case if your institution uses an SSO login integration with Upswing. In order for the tutor to be able to set up their tutor profile, their role will need to be adjusted to the role of a tutor.

Ensure the Tutor Has Subjects Added

One of the final steps in the onboarding and account set-up process for campus tutors is to add subjects, or 'skills', to their profile. These skills are the specific courses at your institution that the tutor can assist with. If the tutor does not have skills listed on their profile, students will not be able to see the tutor in a search.

Ensure the Tutor Has Added Availability

In order for students to be able to request to schedule sessions with a tutor, the tutor will need to have periods of availability added to their Upswing calendars. If a tutor does not have any upcoming availability, students won't have the ability to schedule a future session with them.

One way students can schedule sessions with tutors that don't have availability added to their schedules would be for the tutor to set themselves as immediately available. By setting themselves as immediately available, students can schedule sessions with a tutor without the need for the tutor to have recurring availability.

Ensure the Tutor's Account is Verified

A very common cause for a tutor to not show in a search to students is that their account is not verified. In order for administrators to have oversight into each subject campus tutors are able to assist students with, when a campus tutor adds a new subject to their profile, their account will need to be verified by an administrator. If the tutor's account is not verified, their profile will not be visible to students as they search for tutors.
