Admin Guide: How to Request a Session for a Student with Your Campus Tutors

As an administrator, you have the ability to schedule tutoring sessions on behalf of students and tutors at your institution. A few things to note about scheduling sessions as an administrator:

  • Administrators are only able to schedule tutoring sessions on behalf of students and campus tutors. At this time, the platform doesn't allow administrators to schedule sessions with Upswing tutors on behalf of students.
  • This does require a certain permission to be enabled on your account, so please reach out to the HERO for your institution if you run into any issues when trying to follow these steps! 

How to Request a Tutoring Session on Behalf of a Student or Tutor

  1. Log in to your Upswing Admin Portal.

  2. Search for the Tutor.

    Navigate to the User Administration tab, and search for the tutor you'd like the student to meet in the User List table.

  3. On The Tutor's Profile, Click on 'Tutor Schedule'.

    After searching for the tutor, click on their name to view their profile. Below their profile picture, click on the Tutor Schedule button.

  4. Select the Day and Time of the Session You'd Like to Schedule. 

    You should see the tutor's schedule. From here, you can see days and times they are available for sessions. You can use the filters above their availability to select for online, in-person, one:on:one, or group tutoring sessions.

    Once you've filtered for the type of session you'd like to schedule, click on the Select a Time button next to the time-block for the session you'd like to schedule.

  5. Provide the Session Details in the Pop-Up Box.

    Step 1: Search for the student by their first and last name or email address in the Student(s) field and select the student's account.

    Step 2: Select the start time of the session in the Time field.

    Step 3: Select the session duration in the Duration field.

    Step 4: Select the course from the drop-down menu next to the Subject field.

    Step 5: Once you've provided all of the session details, click Schedule to submit the session request.

  6. Confirm the Session was Successfully Requested.

    While viewing the tutor's availability, you should be able to see a session with the 'Requested' status.

    Additionally, you can view the tutor's upcoming sessions by returning to their tutor profile. Below their name, click on the button that says Tutor Summary.

    From here, you should now see all of the upcoming and past sessions for this tutor, including the session you requested.

How to Inform the Tutor of the Session Request on Upswing

Once you've requested the session on behalf of the tutor and student, you can send the tutor a message on Upswing to let them know. The tutor will need to accept the session request before the scheduled start time in order to meet with the student. 

  1. Click on Tutor Schedule.

    From the tutor's profile, click on the Tutor Schedule button again.

  2. Click on the Message Button.

    Below the tutor's profile picture, click on the Message button.

  3. Type and Send Your Message.

    In the pop-up box, type out your message to the tutor and click Send once you're finished!
