A Deep Dive Into the User Management App in Domo (Admin Lite Users Only)

Introduction to the User Management App

The User Management App in Domo allows Admin Lite users to oversee and manage user accounts at their institution. As an Admin Lite user, you'll have the ability to create External Viewer accounts for staff members at your institution, granting them access to view the Partner Usage app and the Ana Data app. This guide provides detailed instructions on how to use the User Management App, including a few best practices for managing user accounts in Domo.

Accessing the User Management App

The User Management App is only available to Admin Lite users and can be accessed from the Apps page in Domo. To open the app:

  1. Log in to Domo with your Admin Lite credentials.
  2. Navigate to the Apps Page from the main dashboard.
  3. Select the User Management app from the list.

Once inside, you will see options for managing user accounts through three main functionalities: Create New User, Modify User, and Remove User.

Creating New Users

Adding new users allows them to access your institution's Upswing data in Domo. New users will be assigned the role of External Viewer, and will have the ability to view data, modify and manipulate data visualizations on Domo cards, and receive scheduled reports. Follow the steps below to create a new user.

  1. Within the User Management app, click the Create New User button.

  2. Provide the user's first and last name and their email address, then click the blue Confirm button.

  3. Confirm the information is correct, and click Confirm again.

  4. After a second or so, you'll receive a confirmation message that the user was added as an External Viewer. You can close the confirmation message and the Create User dialog by clicking the X in the top right corner.

  5. The user will receive an email with the subject line "Congrats, you just got Domo'd!" from notifications@domo.com. They can click Get Started to log in.

    Tip: It's a good idea to hang onto the email since it includes Domo Instance information such as the URL and username. We also recommend new users bookmark the tab or save the URL for easy access to data.

  6. After clicking Get Started, they'll be prompted to create a password and then to update their profile. (The profile dialog can be dismissed, but may pop up again.)

Modifying Existing Users (Name/Email)

  1. Within the User Management app, click the Modify User (name/email) button.

  2. Search for the user by name, and select the correct user from the dropdown menu.

  3. You'll be able to make changes to their name and their email address. Make your changes and click Update User.

  4. Click Confirm.

  5. After a second or so, you'll receive a confirmation message that the user was updated successfully. You can close the confirmation message and the Update User dialog by clicking the X in the top right corner.

Removing Users

Removing the user will delete their account from your institution's Domo subscriber instance. Once a user's account has been removed, they will no longer be able to log into Domo or receive reports by email.

  1. Within the User Management app, click the Remove User button.

  2. Search for the user you wish to remove by name, and select the correct user from the dropdown menu.

  3. You'll see information about your user including their name and email address. If this is the user you'd like to remove, click the red Delete User button.

  5. After a second or so, you'll receive a confirmation message that the user was deleted successfully. You can close the confirmation message and the Delete User dialog by clicking the X in the top right corner.

Best Practices for User Management

  • Remove External Viewer Accounts in the Event of Team Changes: If a colleague transitions out of their position with your institution, remember to remove the user in Domo.
  • Communicate with New Users: Provide guidance on how to log in, update profiles, and navigate Domo.
  • Monitor Scheduled Reports: If a removed user was part of a scheduled report, reassign the report to an active user to avoid disruptions.
  • Notify your HERO of Admin Lite User Changes: If an Admin Lite user transitions out of their position with their institution, they should notify their HERO as soon as possible so a new Admin Lite user can be identified.
